Send Contracts and Agreements to New Contacts in FreeAgent

With a tool like FreeAgent, you can simplify your accounting and billing all in one platform.  This not only saves you time, but can also keep you organized.  In this example, we’re going to show you how to use WebMerge to automatically generate an agreement and send it to new customers in FreeAgent.  We’ll then collect a signature using HelloSign.

To get started, we’re going to setup the agreement template using a Word document.  Inside the Word document, we’re going to add our boilerplate agreement info and for the spots that we want our customer information to go, we’re going to use merge fields like {$FirstName}, {$LastName}, etc.

Here’s what our agreement looked like:
 


Once we have the template finished, we need to upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button.  After you enter a name, pick Office Document as the document type and then pick the file from your computer.
 


After you upload your template, you’ll be taken to the Settings tab where you can update options like the type of file you want to generate and the name of the generated file.  For this example, we’re going to generate a PDF and we’re going to include the name of our customer in the file name.
 


Next, we’re going to setup the HelloSign deliver so that our agreement is automatically sent out for signature.  Under the Deliver tab, click the New Delivery button and select HelloSign from the list.  Enter your HelloSign API Key and then enter merge fields for the signer’s name and email.
 


After we setup the HelloSign delivery, we are done with the setup in WebMerge and we’re ready to integrate with FreeAgent.  To help with the integration, we’re going to use our friends over at Zapier.

Inside Zapier, go ahead and create a New Zap.  For the Trigger, we’re going to choose FreeAgent as the service and then New Contact as the trigger.
 


After you authenticate your FreeAgent account, Zapier will load a test contact to make sure everything is working correctly.  Follow those steps and then move on to the next step.

Next, we’re going to setup the Action of our Zap.  For the service, pick WebMerge and then pick Create Document Merge as the action.
 


After you authenticate your WebMerge account, Zapier is going to load a list of all the documents in your WebMerge account.  Go ahead and pick the document that you just setup and then Zapier will load a list of the merge fields in your document.  For each of the merge fields, go ahead and pick the corresponding FreeAgent field.
 


Once you have mapped all of your merge fields, go ahead and run a quick test to make sure everything is working correctly.  Once everything is good to go, save your Zap and turn it on.

Go ahead and add a new contact to your FreeAgent account, then Zapier will detect that contact and send the data over to WebMerge where your agreement will be generated and sent over to HelloSign.
