Create Service Contracts From Batchbook

If you’re looking for a great CRM to help you with organization and productivity, then we suggest you take a close look at Batchbook.  With Batchbook you can track your contacts, manage your deals, maintain your communication with customers, and more.  Let's take it one step further and generate documents from Batchbook using WebMerge.

In this example we’re going to show you how to generate a new service contract for each new contact that is added to our Batchbook account.  With the help of Zapier we’ll be able to automatically send new contact information directly to WebMerge on the fly.

To get started, we’re going to upload our contract to WebMerge and setup the document to be emailed directly to our customer when it is generated.  Here’s what our contract looks like – we’re using a Word document as our template:

After we upload the document to WebMerge, let’s jump over to the Deliver tab and edit the default email delivery option so that it is sent to our customer.  Simply change the “To” setting to match the email merge field in your contract.  If you don’t have an email field in your contract, select <<Other>> and then manually enter {$Email}.  This will create a new merge field that you can map later in Zapier.

Now that we have our document setup, let’s head over to Zapier and setup the integration between Batchbook and WebMerge.  You’ll want to select Batchbook > New Person as the trigger and then WebMerge > New Document Merge as the action. 

Once you get the accounts setup, you’ll need to select your contract from the list of documents in your WebMerge account.  After you select a document, Zapier will automatically load a list of merge fields in that document and you need to “match” those fields with the corresponding Batchbook fields.

After you’ve finished the field mapping, you’re ready to test!  At the bottom of the page there is a testing section that will pull a recent person from your Batchbook account and send it to WebMerge.
