Automatically Populate Court Documents from Clio

Court cases can be very time intensive and with tools like Clio you can save a lot of time and headaches by managing matters in a single interface.  Then, add WebMerge to your toolkit and you can automatically generate all types of documents with data from Clio.

In this example, we’re going to show you how you to automatically populate a court filing when we add a new matter to Clio.  We’ll then save the document in Clio for later use.
To get started, we’re going to setup our template.  For this example, we’re going to use a fillable PDF document that has fields on it already.  Here’s what our template looks like:

Once we have our PDF ready, we need to upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button then enter a name for the document.  On the next step, pick Fillable PDF as the document type and then pick the file from your computer.

After we upload our template, we’ll be taken to the Settings tab where we can modify various options like the type of file that is generated and the name of the file.  For this example, we’re going to include the name of our Matter in the file name.

Next, we’re going to setup the delivery of our document so that it is saved back into Clio for later use.  Under the Deliver tab, click the New Delivery button and select Clio from the list.

Once you authenticate your Clio account, you’ll need to pick the merge field for the Matter ID then enter the Document Category name.

After you have completed the Clio delivery, you’re done with the setup process in WebMerge and we’re ready to setup the integration with Clio so that when we add a new Matter to Clio, the data is sent to WebMerge.  To help with the integration, we’re going to use our friends over at Zapier.

Inside Zapier, we’re going to create a New Zap.  For the Trigger, we’re going to choose Clio as the app and then New Matter as the trigger.

Once you authenticate your Clio account, Zapier will load a test matter to make sure that everything is working correctly.  Follow those steps and continue.

Next, we’re going to setup the Action of our Zap.  For the app, choose WebMerge and then Create Document Merge as the action.

Once you authenticate your WebMerge account, Zapier is going to load a list of the documents in your WebMerge account.  Go ahead and pick the court document that you just setup and Zapier will load a list of the merge fields in your document.

For each merge field, you need to pick the corresponding fields from Clio.  This tells Zapier how to send the data over to WebMerge so that it is populated in the correct spot on your template.

Once you have matched up all of your merge fields, you can go ahead and save your Zap.  We’re ready for a test!  Login to Clio and create a new Matter, then Zapier will send that data over to WebMerge and your court document will be populated.
