Instantly Generate Contracts for Proposals in Proposify

You’ve done the hard work – you’ve found a new client, you’ve presented them with your sales pitch, and they seem very interested.  Now, you need to send them a proposal so they can evaluate with their team.  Luckily, you use a tool like Proposify to keep track of all your proposals and the progress of each one.

Once your client accepts the proposal (congrats!) you need to have them sign a contract so your team can get started.  Enter WebMerge.  With WebMerge, you can automatically generate documents from Proposify like contracts, invoices, quotes, and more.  You’ll never have to copy and paste again!

In this example, we’re going to show you how to take the information from your proposal and automatically generate a contract when the client accepts the terms.  We’ll then send the contract over to HelloSign for signature.

To get started, we’re going to setup the template for our contract using a Word document.  Inside our document, we’re going to add our boilerplate contract information, then for the spots that we want to insert our client’s information, we’re going to use merge fields like {$FirstName}, {$LastName}, etc.

Here’s what our contract template looks like:

Since we are going to be getting the contract signed via HelloSign, we need to insert a signature tag in the template so that HelloSign knows where to embed the signature.  This signature tag is just like any other text in our document and looks like: [sig|req|signer1]

Once you have your template finished, we need to upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button and enter a name.  On the next step, choose Office Document as the document type and then pick the file from your computer.

After you upload your template, you’ll be taken to the Settings tab where you can modify various options like the type of file that is generated and the name of the file.  For this example, we’re going to generate a PDF and we’re going to include the name of our customer in the file name.

Next, we’re going to setup the Delivery of our document to HelloSign so that it is automatically sent out for signature.  From the Deliver tab, click the New Delivery button and then select HelloSign.   After you authenticate your HelloSign account, you’ll need to pick the merge fields for the signer’s name and email address.

After we setup the HelloSign delivery, we’re ready to setup the integration with Proposify.  To help with the integration, we’re going to use our friends over at Zapier.

Inside Zapier, we’re going to create a New Zap.  For the Trigger, we’re going to choose Proposify as the service and then Proposal Won as the trigger.

After you authenticate your Proposify account, Zapier is going to load a test proposal to make sure everything is working correctly.  Follow those steps and move on.

Next, we’re going to setup the Action of our Zap.  For the service, we’re going to pick WebMerge and then Create Document Merge as the action.

Once you authenticate your WebMerge account, Zapier is going to load a list of the documents in your account.  Go ahead and pick the contract template that you just setup in WebMerge.  Once you pick the contract, Zapier is going to load a list of the merge fields in your document.

For each of the merge fields in your document, you need to pick the corresponding field from Proposify.  This tells Zapier how to send your data over to WebMerge so that it is populated in the correct spot on your template.

After you have matched up all of your merge fields, go ahead and save your Zap then turn it on.  We’re ready for a test!  Login to Proposify and mark one of your proposal as Won.  Zapier will detect this proposal and send the information over to WebMerge where your contract will be generated and sent over to HelloSign.
