Automatically Send Welcome Letters to New Contacts in Nimble

Building a brand for your business is key to its success and communication with prospects and customers is an important part of your brand.  The more touches you have with a customer, the more you build your brand with them.

With a CRM tool like Nimble, you can keep track of all your prospects and customers, while building your brand.  Track your customer interactions, new deals, and more to close deals faster.

Add WebMerge to your sales process and you can automatically generate various documents like contracts, quotes, letters, and more.  You’ll never have to copy & paste information into a template again!

In this example, we’re going to show you how to automatically populate a welcome letter when we add new contacts to Nimble.  Then we’ll use Lob to automatically send that letter via real mail!  How’s that for unique?!

To get started, we’re going to setup the template for our letter using a Word document.  Inside the Word document, we’re going to add our letter details, logo, contact info, etc.  Then for the spots that we want to insert our contact’s info, we’re going to use merge fields like {$FirstName}, {$LastName}, {$Street}, etc.

Here’s what our letter template looks like:
 


Once you have your template finished, we need to upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button, then enter a name.  On the next step, pick Office Document as the document type then pick the file from your computer.
 


After you’ve uploaded your template to WebMerge, you’ll be taken to the Settings tab where you can modify various options like the type of file that is generated and the name of the file.  For this example, we’re going to generate a PDF and we’re going to include the name of our customer in the file name.
 


Next, we’re going to setup the delivery of our document to Lob so that it is automatically mailed directly to our contact.  Under the Deliver tab, click the New Delivery button then select Lob from the list.  After you enter your Lob API Key, go ahead and pick the merge fields for the address info.

If you don’t have a field in your doc for any part, click the <<Other>> button then enter something like {$StreetAddress}.
 


Once you have your Lob delivery completed and saved, we’re done with the setup process inside WebMerge and we’re ready to setup the integration with Nimble.  To help with the integration, we’re going to use
our friends over at Zapier.

Inside Zapier, we’re going to create a New Zap.  For the Trigger, we’re going to choose Nimble as the app, then New Contact as the trigger.
 


Once you authenticate your Nimble account, Zapier is going to load a test contact to make sure that everything is working correctly.  Follow those steps and continue.

Next, we’re going to setup the Action of our Zap.  Choose WebMerge as the app, then Create Document Merge as the action.
 


Once you authenticate your WebMerge account, Zapier is going to load a list of the documents in your WebMerge account.  Go ahead and pick the letter that you just setup then Zapier will load a list of the merge fields in your template.

For each of the merge fields, you need to pick the corresponding fields from Nimble.  This tells Zapier how to send the data over to WebMerge so that it is populated in the correct spot on your template.
 


After you have matched up all of your merge fields, go ahead and save your Zap then turn it on. We’re ready for a test!  Login to Nimble and add a new contact.  Zapier will detect this new contact and send the data over to WebMerge and your letter will be sent.
