Automatically Send Proposals for New Deals in ActiveCampaign

Tracking your customers from website visitor to purchase has never been easier using marketing and sales automation software like ActiveCampaign.  From simple email marketing campaigns to triggered automation, you can turn your leads into sales with the click of a button.

One piece of the sales cycle that is missing is the document generation that comes along with the process.  Whether you need to send quotes and proposals or contracts and invoices, you’ll need a tool like WebMerge

With WebMerge, you can automatically populate all kinds of documents with information from your ActiveCampaign account.  You’ll never have to copy and paste data into a template again!  In this example, we’re going to show you how you can automatically generate a proposal when you add a new Deal in Active Campaign.

Our first step will be to setup our Proposal template.  We’ll be using a Word document as our template so we’ll open up our proposal and add our merge tags.  To find the correct merge tags to use, we need to first send a sample webhook from ActiveCampaign so we can see what the field names are called.

To see the webhook data, we’ll use a service called RequestBin.  Go ahead and create a new RequestBin and then log into ActiveCampaign and setup a new Webhook under Account > My Settings > Developer.  Copy & paste the RequestBin URL in the webhook url box and then check the box next to Deal Added.

Once you have the webhook setup, go ahead and click the Send Sample Data button at the bottom of the page.  This is going to send data to the webhook so that we can see what it looks like.  Go back over to RequestBin and you should see a page like this.

As you’ll see, the data is coming in from ActiveCampaign in “Array” format, so in your document you’re going to need to reference the data with fields like {$deal.title} or {$deal[“value”]}.  Go ahead and enter all of the fields in your proposal template.

Once the template is finished, let’s upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button then enter a name.  On the next step pick Office Document as the document type and then pick the Word document file from your computer.

After you’ve uploaded the document, you’re going to be taken to the Settings tab.  Here you can change settings like the name of the file and the type of file that is generated.  For this example, we’re going to generate a PDF file and we’re going to include the title of the deal in the file name.

Once you have the settings all squared away, it’s time to setup the delivery of our proposal.  We’re going to email the proposal directly to our client.  Jump over to the Deliver tab and you should see an email delivery option already there by default.  We’ll just use that delivery, so click the Edit button.

For the “To” address we’re going to enter the merge field for the customer’s email address and then we’re going to change the other settings of the email accordingly.

The final piece of the setup process is to setup the webhook to send data directly to our document. Go to the Merge tab and you’ll see the document’s Merge URL.  This URL is unique to your document and allows you to send data directly to this document.  Go ahead and copy that and head over to ActiveCampaign.

Back inside ActiveCampaign, we need to setup a new Webhook using our Merge URL.  The options will be the same as our test webhook earlier.  We want to trigger the webhook with a New Deal is added.  Go ahead and save the webhook.

Now it’s time for a test!  Jump over to your Deals page in ActiveCampaign and add a new deal.  Almost instantly you should receive an email with your proposal attached.  How’s that for easy?
